Booking & Cancellation

Clear, fair terms. No surprises. Here's exactly how booking and cancellation works at InfoCusco.

Reservation & Deposit

To secure a place on any of our Inca Trail tours, we require a non-refundable deposit of $200 USD per person at the time of booking. This deposit covers:

  • Your government-issued Inca Trail permit (purchased from SERNANP, the National Service of Natural Protected Areas, in your name).
  • Your personal Machu Picchu entrance ticket.
  • Operational reservations (porters, cook, transport, train).

Permits are issued nominally and non-transferably β€” once we buy a permit in your name, it cannot be sold to anyone else. This is why deposits are non-refundable: SERNANP does not refund the cost of permits.

Final Payment

The remaining balance is due 30 days before the trek start date, or upon arrival in Cusco for last-minute bookings. Payment options include:

  • Bank wire (USD or EUR) β€” bank details provided after reservation
  • Credit / debit card via secure online link (Visa, MasterCard, Amex)
  • PayPal
  • WeTravel (no fees in many countries)
  • Cash on arrival at our Cusco office (USD or PEN)

Required Information

To purchase your permit, we need your exact passport details:

  • Full name (exactly as on passport)
  • Passport number
  • Date of birth
  • Nationality
  • Sex (M / F)

If your passport renews between booking and travel, please notify us β€” we can update SERNANP records up to a few weeks before departure.

Cancellation Policy

Plans change. Here's our policy β€” fair and transparent:

  • More than 30 days before trek start: All payments minus the $200 non-refundable permit deposit are refundable.
  • 15–30 days before: 50% of the remaining balance is refundable.
  • Less than 15 days before: No refund possible β€” services and transport are already paid by us.

Force majeure: In the case of natural disasters, government trail closures, strikes, or other circumstances beyond our control, we'll do everything possible to reschedule your trek to a different date. If rescheduling is impossible, the same policy above applies β€” we will not retain operational costs we have not yet incurred.

Travel Insurance

We strongly recommend travel insurance covering trip cancellation and high-altitude trekking (above 4,000 m). It's the only way to get back the deposit and pre-paid costs in case of an emergency that forces you to cancel. Please confirm with your insurer that the Inca Trail (max altitude 4,200 m) is covered.

Permit Transfers Between Tours

If you've booked the Classic Inca Trail and decide you'd prefer Salkantay (or vice versa), let us know at least 30 days ahead and we'll do our best to swap. The Inca Trail permit deposit is non-refundable, but if we're switching to a non-permit tour we can apply the rest of your payment as credit toward the new trek.

What to Do in Case of an Emergency on the Trail

Our guides carry emergency oxygen, a full first aid kit, and a satellite phone for serious incidents. If a member of the group is unable to continue, our porters or arrieros can assist with descent. For severe emergencies, we coordinate horse evacuation to the nearest road and onward medical transport to Cusco. Travel insurance with high-altitude rescue cover is again strongly recommended.

Privacy

We collect only the personal information necessary to operate your trek (passport, contact, travel dates). We do not sell or share data with third parties beyond SERNANP (for permits), train and bus operators (for tickets), and the hotels we book on your behalf. We retain records as required by Peruvian law (typically 5 years for accounting). Email [email protected] any time for data deletion or copy requests.
